Branch Support Office Team Positions Vacant

IT Project Coordinator

The IT Projects Coordinator reports to the General Manager and is required to support the Branch Support Office leadership team and staff, together with Scouts Qld’s membership and volunteers, in delivering IT-related projects in partnership with the organisation’s IT-managed service providers and other vendors. The role is critical to supporting the organisation with the design, development, and implementation of IT infrastructure and technology solutions and assisting in implementing a future IT roadmap.

Key responsibilities of the role:

  • Management of the IT Support Officer who reports to this role.
  • Working closely with our IT-managed services providers and vendors to manage projects that improve business systems and processes within the organisation’s technology operating environment.
  • Work with key stakeholders to help define the IT strategy, architecture, and processes.
  • Collaborate with key stakeholders, particularly adult members, across the organisation to develop IT solutions for the betterment of the association.

The role has responsibility for:

  • Oversee IT projects, including system updates, upgrades, migrations, and outages.
  • Identify opportunities and develop project-related documentation to improve and update IT software and systems.
  • Manage and report on the IT budget and related projects
  • Develop and implement IT policy, user guides, training programs and workshops for stakeholders.
  • Provide direction for IT team members and assist with managing the IT helpdesk across multiple departments.
  • Identify opportunities for team training and skills advancement.

Process Improvement & Productivity

  • Provide input and support to the Branch Support Office to review, create, and enhance the IT knowledge base and training guides, and produce support articles for staff and volunteer members using our IT systems and applications.
  • Identify opportunities to streamline processes to enhance the member/volunteer experience.

Data & Reporting:

  • Provide support to produce a range of management reporting related to the organisation’s IT systems and processes.

    Project Administration Officer

    This role supports the Manager of Member Services & Projects and the members of Scouts Queensland in administering a range of projects.

    This includes:

    Project Administration:

    • Support the Manager of Member Services & Projects by administering a broad range of projects that enhance Scouts QLD member experience.
    • Provide start-to-finish administration of projects under the guidance of the Manager Member Services & Projects.
    • Ensure project management templates and processes are created and administered in accordance with organisational standards and policies.
    • Provide active administrative support to projects as directed.
    • Provide both written and verbal reports on project status as directed.
    • Administration across the project portfolio.
    • Work collaboratively with several teams and staff across the Branch State Office to support the delivery of cross-team projects.

    Complaints Administration:

    • Facilitate the resolution of informal and formal grievances and complaints under the guidance of the Manager Member Services & Projects:
    • Acknowledge incoming complaints in a timely and friendly manner.
    • Direct complaints to the appropriate person for resolution.
    • Ensure complaints are resolved within the timeframes set out in Scouts QLD policy.
    • Provide active administrative support to complaints as required.
    • Conduct research and prepare detailed reports and correspondence as required.

    Membership Administration / Service:

    Provide support to the Member Services team where required, including:

    • Back up assistance to general helpdesk tickets – respond or redirect to other Teams and relevant people.
    • Back up assistance to BSO public/member visits and incoming phone calls.
    • Assist with providing outstanding Membership Experience as directed by the Manager of Member Services & Projects.

    The Projects Administration Officer represents the face of our organisation when interacting with members and other external and internal stakeholders. Therefore, the ability to provide outstanding customer and member service and possess outstanding communication skills is essential to the role.

      Program Development Team Casual Positions

      The Program Development Team is currently looking for more staff to assist in running activities. This paid casual position will assist in the running of activities for the school holiday programs, programs for schools, Councils and OSHC’s amongst other activities. In particular, we are seeking people who are able to work at the Holiday Outdoor Experience during the school holidays. The following is required:

      • Paid working with Children Blue Card.
      • Ability to travel to locations that do not have public transport.
      • A willingness to learn new skills.
      • Love having fun.
      • Enjoy working with young people aged 5 – 13 years.
      • Have the ability to change and add to daily activities.

      These positions are open to people aged 18+ with or without Scouting experience. There may be openings for 17+ with Adventurous Activity skills.

        Equipment & Activity Store – A Home Away From Home

        2024 is shaping up to be a big year for Scouts Queensland with lots of major events culminating in the hosting of the 26th Australian Jamboree in January 2025.

        The Branch Equipment & Activity Store provides pivotal support to all of the major events and the Jamboree, as well as many other smaller events and activities through the provision of equipment hire.

        A very small team of volunteers support the store working on-site at Baden-Powell Park Campsite every Thursday. This team upkeep, sort, repair, replace and generally volunteer many hours of work each year to ensure that Scouts Queensland has equipment available to support its activities.

        We are on the hunt for new volunteers to help out in this very busy year for the store. If you can volunteer a few hours a month, one day a week or one day a month, we would welcome your contribution! Whilst an induction would need to be done with the current team, you can offer to volunteer on other days if Thursdays do not suit you.
